Create a new direct debit.

  1. Select Direct debits from the left-hand menu.
  2. Select Create direct debit.
  3. Select the To account.
  4. Enter the Authorisation code and Batch identifier.
  5. Select a Direct debit date.
  6. (Optional) Add details for your statement:
    • Particulars
    • Code
    • Transaction note.
  7. (Optional) Select Appear on statement as multiple single direct debits.
  8. Select Next.
  9. Use From to search for and select at least one payer to add to the direct debit.
  10. For each payer:
    • Enter the Amount
    • (Optional) Add Particulars, Code, or Reference for the payer’s statement.
  11. To add another transaction for the same payer, select the plus (+) symbol.
  12. When you’ve finished adding payers, select:
    • Save draft to save the direct debit to Drafts
    • Next to continue.
  13. Review your direct debit details.
  14. (Optional) To save as a template:
    • Select Save as template for future use
    • Give the template a name
    • Select Include amounts in template to save the payment amounts for each payer
    • Once the direct debit is created, the template will appear under Direct debit templates for future use.
  15. Approve the direct debit or send it for approval.
  16. The direct debit will then continue through your usual approval process.

Create a direct debit using an existing template.

 

  1. Select Direct debits from the left-hand menu.
  2. Select Direct debit templates.
  3. Find the template you want to use, then select Create direct debit.
  4. Review the template details.
    Note: If the template has more than 50 transactions, you’ll be asked to choose which ones to include.
  5. (Optional) Edit the template details.
  6. Select Next.
  7. Review your payer details.
  8. (Optional) For each payer, you can:
    • Edit the Particulars, Code, or Reference
    • Change the Amount
    • Select the trash can icon to remove the payer.
  9. (Optional) Choose if you want to save any changes you made to your template.
  10. Approve the direct debit or send it for approval.
  11. The direct debit will then continue through your usual approval process.

Create a direct debit using file upload.

Use the file upload process when you need to create a direct debit that has more than 50 transactions.

  1. Select Direct debits from the left-hand menu.
  2. Select File upload.
  3. Select Upload file.
  4. Click Select file to choose the file you want to upload.
  5. (Optional) Select Appear on statement as multiple single direct debits to show each direct debit as a separate transaction on your statement.
  6. Select Upload.
  7. The status will show as Validating while the file is being checked.
  8. When validation is complete, the status changes to Review needed.
  9. Select View to review the file and any warnings or errors.
  10. Select:
    • Reject to fix issues and upload the file again
    • Confirm to create and approve the direct debits or send them for approval.
